Refund policy for QuantQuorum Summit
This Refund policy sets out the general rules for cancellations, changes, refunds, and credits related to passes purchased for QuantQuorum Summit. It applies together with the Terms & Conditions and any specific arrangements stated in the order form or participation agreement.
The information below is provided for general guidance and does not replace the contract terms agreed between QuantQuorum and your organisation. If there is any inconsistency, the contract, the Terms & Conditions, and any signed schedules or addenda will always prevail.
1. Scope
This policy applies to paid passes for QuantQuorum Summit purchased by companies, banks, financial institutions, professionals, and other legal entities. Any advisory or audit services are governed by separate agreements and are not covered by this Refund policy unless expressly agreed in writing.
2. Cancellation by the attendee or client
Unless your order form states otherwise, the following time bands typically apply to client cancellations:
- Within a specified number of days before the event start date: 100% refund of the amount paid.
- Up to a second intermediate deadline: partial refund or a credit that can be used for a future edition.
- After the final stated deadline: as a rule, no refund unless agreed otherwise in writing.
The exact deadlines, refund percentages, and any exceptions (for example, documented force majeure circumstances) are always set out in the contractual documentation shared with the client.
3. Attendee name changes
In most cases, you can update the attendee name at no extra cost up to the deadline stated in the order confirmation. After that date, changes may or may not be possible depending on operational constraints and security/access control procedures.
A name change is not a cancellation and does not usually give rise to a refund. Practical instructions for requesting changes will be provided in pre-event communications and official documentation.
4. No-shows and partial attendance
If an attendee does not attend the event (a no-show) without providing notice within the required time and method, no refund will be due unless your order form or a specific written agreement states otherwise.
If an attendee or team attends only part of the summit (for example, selected days or sessions) by their own choice, this does not entitle them to any partial refund unless explicitly agreed in writing.
5. Cancellation or rescheduling by QuantQuorum
QuantQuorum may cancel or reschedule the summit due to force majeure or circumstances that make delivery impossible or unreasonably burdensome (for example venue issues, safety restrictions, or exceptional events).
In such cases, options typically offered to clients include:
- moving the pass to the new event dates;
- transferring the pass value to a future edition;
- a full or partial refund, depending on the agreed terms.
The exact approach will be communicated in good time to the client contacts and handled in line with the Terms & Conditions in force.
6. Force majeure
Force majeure means events outside the reasonable control of the parties, such as public health emergencies, changes in law, mandatory venue closure, natural events, or public safety issues. In these circumstances, QuantQuorum and the client will work in good faith to find a reasonable outcome, which may include rescheduling, issuing credit, or other solutions agreed case by case.
7. How to request a refund
All refund requests must be submitted in writing to [email protected], including:
- organisation details and the relevant invoice/order form reference;
- names of the affected attendees;
- the reason for the request (cancellation, inability to attend, other);
- bank details for any repayment where needed.
QuantQuorum will assess the request against the applicable contractual terms and confirm the outcome within a reasonable timeframe. Where a refund is due, we will, where practicable, use the original payment method or pay by bank transfer to the same entity that made the initial payment.
8. Costs not covered by this policy
This Refund policy covers passes purchased directly from QuantQuorum only. It does not cover:
- travel, accommodation, visas, or other expenses incurred by attendees;
- services purchased from third parties (for example travel agencies or hotels);
- any internal fees or penalties linked to the client’s procurement processes.
QuantQuorum will not be responsible for such indirect costs unless expressly agreed in writing.
9. Relationship with other policies and documents
This Refund policy should be read together with:
- Terms & Conditions for summit participation;
- Terms of service for website use;
- Privacy policy on personal data processing;
- any client-specific agreements (for example bespoke pass arrangements).
If there is any inconsistency between this page and signed contractual terms, the signed terms will prevail. QuantQuorum may update this Refund policy; the version applicable to a specific order is the one in force on the date the order is signed.
